CRA account help - Manage how your business uses Represent a Client

After you have accessed Represent a Client (RAC) in your CRA account, you can register your business and associate employees to it. This will enable you to manage the access of employees to your client's information. Clients can authorize a business as an authorized representative, and only the employees associated to the business can access client information.

Register your business in Represent a Client (RAC)

You can register your business in Represent a Client using your business number (BN) if all of the following criteria are met:

  • You have registered your business with the CRA
  • You are identified as the owner, partner, director, or officer of the business in our CRA BN database
  • Your social insurance number (SIN) is associated with your business

Sign in to your CRA account and follow these steps to register your business in Represent a Client:

  • This is your first time accessing Represent a Client: Option 1

    1. Select Add account from the CRA account Welcome page
    2. Select Representative account
    3. Select Register with Represent a Client
    4. Select Register your business and follow the instructions provided

      You will also receive a RepID you can give to any client who wants to authorize only you as their representative

  • You have previously added Represent a Client: Option 2

    1. Select your Representative account to access Represent a Client
    2. Select Profile
    3. Under “Associations,” select Register your business as a representative

Once the business is registered in Represent a Client, you will give your BN to clients who want to authorize your business as their representative.

Employee roles and their access

You can assign various roles to your employees to manage their access and responsibilities. Refer to the table below to understand the functions available to each role.

An additional role, Jr. Rep Ltd, can only submit authorization requests for a business. It serves no other purpose, and privileges cannot be assigned to it.

Assigning privileges

You can assign certain privileges to employees that will allow them to perform various tasks. They can be assigned to an employee who doesn't already have them. Where these privileges are assigned to an employee, they will have the ability to perform all of the permissions grouped under that privilege.

View and delete individual clients

The View and delete individual clients privilege groups these 4 permissions:

  • View individual client list
  • Delete Authorizations
  • View individual transactions (Jr. admins have this ability by default)
  • View list of notices issued

View and delete business clients

The View and delete business clients privilege groups these 3 permissions:

  • View business client list
  • Delete Authorizations
  • View business transactions (Jr. admins have this ability by default)

View and delete trust clients

The View and delete trust clients privilege groups these 3 permissions:

  • View trust client list
  • Delete Authorizations
  • View trust transactions (Jr. admins have this ability by default)

Manage mail

View pre-assessment review and processing review letters that have been electronically delivered.


Manage employee access

Create BN Groups

Any individual client that has authorized a business can be assigned to a BN Group. Employees must then be associated to that group to access the information of those clients.

  1. Sign in to your CRA account
  2. Select your Representative account to access Represent a Client
  3. Select Profile
  4. Under “Associations,” select the business name you wish to manage
  5. Under “Business groups,” select Create a business group
  6. Enter and confirm group information

Associate employees to your business or BN Group

Your employees must register for a RepID through the Register yourself link on the Represent a Client welcome page. When they give you their RepID, you can associate your employees to your business or BN Group to allow them access to your client's information.

  1. Sign in to your CRA account
  2. Select your Representative account to access Represent a Client
  3. Select Profile
  4. Under “Associations,” select the business name you wish to manage (and then the business group, if applicable)
  5. Under “Employees,” expand the Employee list and select Associate employees
  6. After you submit your information, you can Assign employee privileges if needed

Assign taxpayers to your BN Group

Only business owners and employees associated to a BN Group will be permitted to access the information of clients assigned to that group.

  1. Sign in to your CRA account
  2. Select your Representative account to access Represent a Client
  3. Select Profile
  4. Under “Associations,” select the business name
  5. Under “Business Groups,” select the name of the BN Group
  6. Under “Clients,” expand Individuals/Businesses/Trusts assigned to this group
  7. Select Assign individual/business/trust clients to a business group and follow the instructions
